Privacy Policy

This policy explains what information Builder Intelligence collects, why we collect it, and how we handle and protect it. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

1. Who we are

Builder Intelligence is an independent pre-construction advisory practice operating across Brisbane and the Sunshine Coast, Queensland. In this policy, “Builder Intelligence”, “we”, “us” and “our” refer to Builder Intelligence as the entity responsible for the personal information described here. If you have any questions about this policy or how we handle your information, you can reach us using the details in section 14.

2. Information we collect

The information we collect depends on how you interact with us. We treat information provided by clients as a distinct, higher-sensitivity category to the information collected from general website visitors.

2.1 Website visitors

When you use our website, we may collect the details you enter into our contact form or a guide download form (such as your name, email address and role), along with analytics data and information stored in cookies (see sections 3 and 4).

2.2 Clients

When you engage us for advisory services, we may collect and hold project information including architectural drawings, engineering reports, cost reports, project addresses, uploaded files, our own advisory reports, and communications between us. This project documentation is treated as confidential and is used only to deliver the services you have requested.

2.3 Analytics

We use Google Analytics 4 to understand how visitors use our site, and Microsoft Clarity, which captures anonymised session recordings and heatmaps to help us improve the site experience. These tools collect usage and device information rather than information that directly identifies you.

2.4 Uploaded documents

Where you submit plans, surveys, engineering documents, specifications or other files through our Submit Project form or the client portal, we collect and store those documents to provide the requested advisory services.

3. How we use information

We use the information we collect to deliver our advisory services, respond to your enquiries, send resources you have requested, and improve our website and services through analytics. We send marketing communications only where you have consented to receive them (see section 7).

4. Cookies

Our website uses cookies in three categories:

  • Essential — required for the site to function.
  • Analytics — Google Analytics 4 and Microsoft Clarity, used to understand and improve site usage.
  • Advertising — Google Ads. This category is currently inactive; if we activate advertising in future, its use will fall under this section.

5. Third-party providers

We use a number of reputable third-party providers to operate our business and website. These include:

  • Supabase — database and file storage
  • Vercel — website hosting
  • Resend — transactional email delivery
  • Google — Analytics, Ads and Drive
  • Microsoft — Clarity analytics
  • Zapier — workflow automation
  • Notion — internal operations

Each provider handles information under its own terms and privacy practices, and only to the extent needed to provide its service to us.

6. Overseas disclosure

Some of our providers are internationally headquartered. As a result, your personal information may be stored or processed in Australia, the United States, and other jurisdictions where those providers operate.

7. Marketing communications

We send marketing emails only to people who have opted in to receive them. Downloading a resource or submitting a project enquiry does not by itself sign you up to marketing. Every marketing email includes an unsubscribe link, and you can opt out at any time — after which we will stop sending you marketing communications.

8. Data security

We take reasonable steps to protect personal information, including encrypted transmission over HTTPS, password-protected systems, role-based access to client information, and the use of reputable cloud providers. While no system can be guaranteed completely secure, we work to protect information against loss, misuse and unauthorised access.

9. Data retention

We keep contact and enquiry information for as long as needed to respond to you and provide our services, and marketing-list information until you unsubscribe. We periodically review and remove information we no longer need.

10. Access and correction

You can request access to the personal information we hold about you, ask us to correct it, or ask us to delete it, by contacting us using the details in section 14. We will respond to your request within a reasonable period.

11. AI and automated tools

Builder Intelligence may use software automation and AI tools to assist in processing information and preparing advisory outputs. These tools are used under our supervision and do not replace professional judgement.

12. Intellectual property in uploaded documents

We collect uploaded project documentation solely to provide the requested advisory services. Ownership of uploaded documents remains with the client or the relevant copyright owner.

13. Client portal

Client portal accounts may contain project documentation, reports, communications and other project information. Clients are responsible for keeping their login credentials confidential.

14. Data breaches

If we become aware of an eligible data breach that is likely to result in serious harm, we will respond in accordance with the Privacy Act 1988 (Cth) and the Notifiable Data Breaches scheme.

15. Future services

As Builder Intelligence develops additional advisory services, digital tools or client portal functionality, this Privacy Policy continues to apply unless we state otherwise.

16. Complaints

If you have a concern about how we have handled your personal information, please contact us first so we can try to resolve it. If you are not satisfied with our response, you can raise the matter with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

17. Updates to this policy

We may update this policy from time to time. Any changes will be published on this page, with the “Last updated” date above revised to reflect the most recent version.
